This aims to describe the controls we have put in place to affect the threats from the COVID-19 virus and the plans we have in place to respond.
The COVID-19 is a member of the coronavirus family. Symptoms of the virus include pneumonia, coughs, fever and breathing difficulties. This policy exists to provide preventive measures to safeguard the health of all participants, villagers and employees to the best of our collective ability.
Epic endeavours to mitigate the risk of COVID-19. However, by participating in Epic’s programs you acknowledge that there are certain risks associated with COVID-19 and you voluntarily assume full risks of COVID-19 which you may sustain as you participate in Epic’s programs read this post from burniva.
1.0 ELIGIBILITY & POLICY ELEMENTS
This policy is applicable to all visitors, builders, Epic Core Team and villagers involved in the programme (hereby collectively referred to as “Participants”).
1.1. Epic will implement sanitization and disinfection of frequently touched surfaces and shared equipment before and after the event.
1.2. Hand sanitisers will be made available for all Participants. However, participants are expected to bring their own hand sanitizers for their own usage.
1.3. In compliance with RMCO regulation, participants are encouraged to bring & wear their masks at all times or when unable to practise social distancing.
1.4. Participants are expected to bring their own water bottle to refill their own water for their own consumption.
1.5. All Participants’ body temperatures will be monitored daily by the PIC (Experience Coordinators and/or Basic Builder Manager).
1.6. If Participants are found to have a body temperature of more than 37.5°C and exhibit any symptoms (fever, prolonged shortness of breath, sneezing or coughing or have symptoms of respiratory infection) at any stage, they will be directed to leave the event and return home.
1.7. To ensure the health of all parties, only the home recipients and beneficiaries are allowed to enter the build site during introduction and handover ceremony with proper PPE. Beneficiaries are advised not to enter during the build.
1.8. Epic will not proceed with any event if the community partner (village representatives) does not give their approval to proceed,
1.9. Contact Tracing will be done throughout the programme by using MySejahtera QR Code by Epic and by Accommodation that the participants are staying in.
PRE-BUILD PREVENTIVE MEASURES
2.0 PARTICIPANTS ARE PROHIBITED TO PARTICIPATE IN THE PROGRAM IF,
2.1. Participants have returned from any foreign countries within 30 days from the build.
2.2. Participants have been in close proximity with anyone who has contracted COVID-19 for the past 30 days from the build date.
2.3. Participants are unwell or have symptoms such as prolonged sneezing, coughing, fever and shortness of breath.
2.4. Participants over the age of 60 years old as they are more susceptible to COVID-19.
3.0 HEALTH DECLARATION FORM
3.1. It is required for all Participants to sign the Health Declaration Form prepared by Epic.
3.2. It is required for all Participants to declare their travel history in the Health Declaration Form for our team’s knowledge & mitigation.
3.3. Failure to sign the Health Declaration Form will result cancelation of your participation.
3.4. For any events hosted by Epic, all visitors (if any) will be required to sign the Health Declaration Form.

HYGIENE PREVENTIVE MEASURES
4.0 EPIC ADVISE ALL PARTICIPANTS TO UPHOLD GOOD HYGIENE PRACTICES BY
4.1. Washing hands frequently with soap or hand sanitizers (especially before meals),
4.2. Cover your mouth with tissue when coughing or sneezing and dispose of it immediately. If no tissue can be found, cough or sneeze into the crook of your elbow,
4.3. Avoiding close contact with anyone who has cold or flu-like symptoms,
4.4. Avoiding unprotected contact with wild live or farm animals.
4.5. Discouraging handshakes and other contact methods which may increase the risk of spreading COVID-19.
4.6. Sanitise shared hand & power tools periodically.
5.0 IN THE EVENT OF BASIC BUILDER (BB) WORKSHOP
5.1. Epic will follow normal health protocol before the workshop, sending form and declaration on health and visiting status a week before the workshop.
5.2. Participants are required to wear masks during the workshop and bring their own bottle of hand sanitizers with them. Hand sanitizers will still be provided in the workshop for Participants and facilitators usage.
5.3. On the day of the workshop, participants must get temperature checked and checked in through MYSejahtera app upon entering the workshop.
5.4. Participants that have a temperature of more than 37.5°C or experiencing any cold or flu-like symptoms are not allowed into the workshop.
5.5. A health & safety briefing will be conducted by the Basic Builder Manager/Facilitators or PIC.
5.6. Facilitators will be in charge of cleaning the tools, wiping down and spraying with disinfectant before and after each workshop.
5.7. Meals during BB will have to be pre packed or served by one person and not the typical buffet style.
BUILD SITE & ARRIVALS PREVENTIVE MEASURES
6.0 IN THE EVENT OF PARTICIPANTS ARRIVING AT BUILD SITE & ITS ENTIRE DURATION IN BUILD SITE
6.1 We advise and encourage all participants to practice social distancing to the best of your ability.
6.2. Masks or neck guards are encouraged to be worn the throughout the construction period.
6.3. Participants will need to sanitize their hand & have their temperatures checked by our Experience Coordinators before entering the build site.
6.4. Meals (lunch) will be provided via packed meal. Participants will get their lunch staggered by groups/teams and would encourage Participants to practise social distancing during both meal and break time.
6.5. All Participants will need to sanitize themselves before entering and exiting the build site every day.
ACCOMMODATION PREVENTIVE MEASURES
7.0 IN THE EVENT OF PARTICIPANTS ARRIVING AT THE ACCOMMODATION
7.1. All Participants have to strictly adhere to our accommodation operator’s RMCO SOP.
7.2. All Participants must be aware that they will be sharing bed with a participant of the same sex unless the following condition:
7.2.1 Participants from Public Build write an email to us to indicate their partner who they would like to share a bed/room with (Public Build).
7.2.1.1 However, this condition will only be allowed if allocation of the other participants can be done.
7.2.1.2 There will not be any changes once all participants have successfully checked into the hotel.
7.2.1.3 Participants may bring their own sheet/sleeping bag if they wish.
7.3. Meals (dinner) will be provided via packed meal. Participants will get their meals staggered by groups/teams and would encourage Participants to practise social distancing.
7.4. Briefings are encouraged to be conducted in a social distancing manner with group separation.
PREVENTIVE MEASURES VIA BUS
8.0 IN THE EVENT OF PARTICIPANTS COMMUTE TO EPIC HOMES BUILD VIA BUS
8.1. All Participants have to strictly adhere to the SOP by our bus operator.
8.2. All Participants will need to sanitize their hands before entering the bus and masks are compulsory to be worn throughout the journey.
8.3. All Participants need to get their body temperature checked before they leave the accommodation.
Participant(s) that have a temperature of more than 37.5°C or experiencing any cold or flu-like symptoms are not allowed into the bus (and in the build site).
8.4. Epic will have the rights to call Participant(s) legal guardians to send the participant(s) back home.
PREVENTIVE MEASURES VIA CARPOOL
9.0 IN THE EVENT OF PARTICIPANTS COMMUTE TO EPIC HOMES BUILD VIA CARPOOLING
9.1. All Participants will arrange their own carpooling system.
9.2 All Participants will need to sanitize their hands before entering their relevant cars and masks are encouraged to be worn throughout the journey.
9.3. Participants would need to stick to the same carpooling list throughout the whole 3 days journey of Epic Homes.
9.4. Drivers are advised to disinfect their respective cars once all Participants have safely arrived at their homes on the last day after the build.
HANDOVER CEREMONY PREVENTIVE MEASURES
10.0 IN THE EVENT OF HANDOVER CEREMONY IN THE BUILD SITE:
10.1. All participants are advised not to have close contact with each other and are encouraged to practise social distancing.
10.2. When taking pictures, all participants are not encouraged to cluster around the recipients or home beneficiaries without masks.
10.3. All participants are required to wear masks during the handover ceremony and photo taking session.
10.4. High-fives or any contact gesture with participants are not encouraged.
10.5. The recipient family are only allowed to join the handover ceremony and are not encouraged to join the build during this period of RMCO to reduce the risk and spread of infection.
10.6. Recipient families are advised not to use the house for a week to allow ventilation of air throughout the home.
POST-BUILD RESPONSE PLAN
11.0 IN THE EVENT OF RECEIVING QUARANTINE ORDERS FROM REGISTERED MEDICAL PRACTITIONERS OR MEDICAL OFFICERS:
11.1. Participants must notify Epic at once. This will result in disqualification of the Participants to the Programme.
11.2. PIC will find a replacement to substitute the Participant if the Participant has received a quarantine order from registered medical practitioners or medical officers before the build.
11.3. If during a build, participant must notify the Experience Coordinators immediately, who will then notify Epic. Epic will halt the Programme. All Participants will be directed to private clinics or government centres for screening. Expenses are to be borne by the Participants.
IN THE EVENT OF A CONFIRMED INFECTION
For Corporate Builds
11.4. If a Participant is confirmed to have COVID-19, the PIC of this event (the client or sponsor) is entitled to postpone the Programme to a further date. This must be conveyed via email.
11.5. Epic will not incur any charges if we have received any notification on the postponement, when possible. However, clients may need to bear any/all penalties and charges issued by our supplier (meals, accommodation and transportation) if the changes are within 14 days of the build.
11.6. Epic will only postpone the Programme once an official letter of confirmed infection(s) by an authorised hospital/medical center is provided.
